Move mail without losing history

Email Migration

Email migrations are where patience pays: mailboxes, calendars, shared resources and years of history all move at once. Scalenta plans the migration in stages, audits what exists, and cuts over with rollback points.

Overview

A mail migration is a dependency exercise. Shared mailboxes, distribution lists, delegates, mobile devices, integrations and DNS all interact — and skipping the audit produces the classic outcome: everything moves, and one critical thing does not.

We inventory the mail estate, map the dependencies, migrate in waves with pre-flight checks, and cut DNS over with coexistence handling so mail flows throughout.

Scope

What this includes

  • Pre-migration audit of mailboxes, aliases and shared resources
  • Wave planning with cutover and rollback points
  • Coexistence setup so mail flows during the migration
  • Mailbox, calendar and contact migration
  • DNS, authentication and client reconfiguration
  • Post-migration validation and cleanup

FAQ

Common questions

How much downtime should we expect?
With proper coexistence, the user-visible cutover is usually measured in minutes — but that is an outcome of planning, not a promise made before the audit. The plan states the realistic impact per wave.
Will our devices need reconfiguring?
Most modern clients pick up the new settings automatically when DNS and authentication are configured correctly. Where manual changes are needed, we document them per device type before cutover.
